Data Processing Addendum

This Data Processing Addendum describes baseline processing terms for business customers that use Cold Video Caller to process personal data on behalf of their organization.
Roles
For customer account data and product usage data, Cold Video Caller may act as an independent controller or business operator. For personal data submitted by a customer or processed in customer-directed prospect workflows, Cold Video Caller may act as a processor or service provider, depending on the applicable law and written agreement.
Processing details
- Subject matter: prospect discovery, booking-link detection, account management, credit usage, audit logging, and service operations.
- Duration: for the term of the customer relationship and any retention period required for security, legal, billing, audit, or compliance purposes.
- Data subjects: account users, administrators, prospects, support contacts, and business contacts.
- Data categories: account identifiers, contact details, profile data, booking links, search criteria, workflow state, provider metadata, logs, and support communications.
Customer instructions
We process customer-directed data to provide the service, follow documented product behavior, comply with written instructions, protect the service, and meet legal obligations.
Confidentiality
Personnel and service providers with access to customer data are expected to handle it confidentially and only as needed to provide, secure, support, or improve the service.
Security measures
We maintain administrative, technical, and organizational measures designed to protect personal data, including access controls, authentication, logging, hosted database controls, and operational security practices.
Subprocessors
We may use subprocessors for hosting, database, authentication, email, analytics, logging, payments, and data-provider functionality. See the Subprocessors page for the current service categories.
Assistance
Where required and reasonably possible, we will help customers respond to data subject requests, security inquiries, and compliance obligations related to processing performed through the service.
Deletion and return
At the end of service use, customer data may be deleted, returned, retained, or archived according to product functionality, written agreement, legal requirements, security needs, billing records, audit logs, and backup practices.
Conflicts
If a signed agreement includes a separate data processing addendum, that signed agreement controls for that customer.
